About the Role
The Shop and Visitor Experience Manager is a key member of a high-performing, collaborative management team. Reporting to the Chief of People and Operations, the Shop and Visitor Experience Manager is a key role for building a unique profile and brand for the OAG Shop, highlighting the work of local, regional and national artists and for creating a welcoming, inclusive and thoughtful approach to visitor services. OAG’s shop functions both as a boutique and as the primary point of contact for visitors and clients. This is a full-time, permanent position with a competitive compensation and benefit package.). Evening and weekend work will be required from time to time.
Direct Reports: Interim Commercial Gallery and Shop Coordinator and a team of casual Shop Coordinators
Key areas of responsibility include but are not limited to:
- Manage day to day operations in the Shop and visitor services;
- Oversee and manage all activities relating to the OAG Shop, including administrative, financial, inventory, marketing, and programming;
- Staffing: manage and support full time, part time and occasional front-line staff. Assist with hiring, training, scheduling, filling shifts as required, the dissemination of OAG information and the delegation of tasks;
- Customer Service: management of team responsible for greeting visitors, wayfinding, opening and closing exhibitions, stocking building brochures, ensuring the building is clean and welcoming to guests;
- Flexible working hours: able to fill in shifts as needed, able to work evenings and weekends if required;
- Promote the Mission, Vision and Values of the Ottawa Art Gallery;
- Meet sales targets;
- Inventory management: main buyer for boutique, develop OAG branded products, select products that support exhibitions, manage the shop and OAG Publications inventory, merchandising;
- Keep up to date on retail trends and risks;
- Statistical gathering: gather and maintain statistical information pertaining to visitors’ attendance and sales in order to provide advice on development of operations, visitor engagement and/or grant reporting;
- Administrative: invoicing, artist payments, develop contracts and licensing agreements for reproductions and/or vendors, preparing reports;
- Public programming/events: coordinate, in collaboration with other departments ,programming relating to the OAG Shop, including artist talks, book launches, membership events and yearly holiday artist showcase ART & Parcel;
- Client relations: foster relationships with artists, vendors, clients, donors and other regional, cultural organizations as well as working with our building partners (City of Ottawa, Arts Court tenants, and Commissionaires) to manage and maintain building requirements and visitor needs;
- Financial oversight: creation and management of departmental budgets, review financial reports, quarterly progress and statistical reports, coordinate quarterly artist payments, establish and maintain proper cash handling policies;
- Review, log and follow up on visitor feedback;
- Maintain Shopify, the POS and e-commerce site (Shopify);
- Marketing and Communications: ability to participate in media interviews. Create, proof and edit communications content related to OAG Shop including the Instagram (@oagshop_annexe) and Facebook accounts, the e-newsletter content and specialized media releases;
- Oversee the gallery’s Lost & Found;
- Operate in a bilingual environment.
Requirements of the Position
Experience
- 5 years’ experience directly related to the responsibilities of this position;
- Knowledge of the not-for-profit environment and an appreciation of the visual arts;
- Experience working in a retail and customer service environment, preferably in a supervisor or management position;
- Working knowledge of business development best practices;
- Experience with financial planning, overseeing budgets, and office management;
- Experience in building and managing a high-functioning and positive team culture.
Skills & Competencies
- Ability to effectively engage with external stakeholders;
- Extroverted, comfortable with public speaking;
- Ability to build effective networks and build the profile of the organization;
- Aptitude for big-picture thinking, building connections between various aspects of gallery activities for public consumption;
- Proficiency in Microsoft Office applications, knowledge of Adobe Creative Suite is an asset;
- Social media expertise is an asset;
- A passion for the arts, with knowledge of the current Ottawa arts community is an asset;
- Fluency (oral and written) in English and French is an asset.
